Contact Coding

Overview

Contact Coding dictates how each unique Client/Supplier and Prospect Code will be automatically generated. To access Client Coding choose Settings » Contacts » Setup. The following screen will appear.

Customer Coding

Customer Coding refers to the unique identifier automatically generated by the system for each Customer, it is made up of 2 parts, firstly a portion of the Customers Name, and secondly a sequential number to ensure that the code is unique.

Number of Characters of Name

This number refers to the number of Characters of the Business name (or Surname if Customer is an individual) that is used to create the code. The default of this is 3 digits e.g. “MUR” for Murphy Builders or “SMI” for John Smith.

Number of Digits

This number refers to the amount of digits used at the end of the code to make it unique. This number starts at 1 for each unique name, for example the first “MUR” will be “MUR001” and the first “SMI” will be “SMI001” and so on. The number of digits refers to both the maximum number within any code and also the left the number will be “padded”. 3 digits will give “001” to “999”.

Supplier Coding

Supplier Coding refers to the unique identifier automatically generated by the system for each Supplier, it is made up of 2 parts, firstly a portion of the Suppliers Name, and secondly a sequential number to ensure that the code is unique.
