User Access

Overview

In Surf Accounts, a user can give an access to other users for the business and at the same time, user will have the administrative right about giving the access. A user can restrict the access to other user feature wise like Customer Setup; Contacts; Activities; Chart of Accounts; Invoices; Payments; Journals; Bank Reconciliations; VAT Returns; Opportunities; Data Mining; Reports; Settings.   

To access user details choose Settings» General Setup » Users.

By selecting the 'Users' option the following screen will appear.

Access to another user: To give an access to another user to the business choose the “Invite” option from the tool bar and in the Email field insert the email address of the user to whom the user wants to give access. To give accesses to a user choose Settings » Business Setting» User Access » Invite. The following screen will appear.

Customization of Access to a user: User can give access to another user to the business by entering the email to the E-mail box of “Invite User”. After entering the email address a list of dropdown check boxes will appear categorically as “Customer Setup”; “Contacts”; “Activities”; “Chart of Accounts”; “Invoices”; “Payments”; “Journals”; “Bank Reconciliations” ; “VAT Returns” ; “opportunities”; “Data Mining” ; “Reports” ; “Settings”

 

Customer Setup: This will dictate the access to the invited user. Select the check boxes to give the access to the invited user. Invited user can add a new business or work on the existing business depending on the selection of the customer setup. To customise the access of the user from the customer setups choose Settings» Business Settings» User Access» Invite Support» Customer Setup.

 

Contacts: This will dictate the access to the invited user. Select the check boxes to give the access to the invited user. Invited user can add a new contact on the existing business depending on the selection of the customer setup. The invited user will also be able to open, view, delete depending on the selection of the “Contacts” check box.   To customise the access of the user from the Contacts choose Settings» Business Settings» User Access» Invite Support» Contacts.

Activities: This will dictate the access to the Activities of the business in Surf Accounts for the invited user. Select the check boxes to give the access to the invited user. Invited user can add, view, and delete the existing business depending on the selection of the “Activities” menu. The invited user will also be able open new activity, other’s activity, export the activity in a PDF format or email and print the activity from the “Activity” check box.   To customise the access of the user from the Activities choose Settings» Business Settings» User Access» Invite Support» Activities. 

 

Chart of Accounts: This will dictate the access to the Chart of Accounts of the business in Surf Accounts for the invited user. Select the check boxes to give the access to the invited user. Invited user can add, view, edit and delete the nominal code and ledger card of the existing business depending on the selection from “Chart of Accounts” menu. The invited user will also be able to export the Chart of Accounts in a PDF format or print the nominal code from the “Chart of Accounts” check box.  To customise the access of the user from the Chart of Accounts choose Settings» Business Settings» User Access» Invite Support» Chart of Accounts.

 

Invoices: This will dictate the access to the Invoices of the business in Surf Accounts for the invited user. Select the check boxes to give the access to the invited user. Invited user can add, view and edit the Invoices, Quotes, and Credit Notes of the existing business depending on the selection from “Invoice” menu. The invited user will also be able to add, edit and generate the recurring template To customise the access of the user from the Invoices choose Settings» Business Settings» User Access» Invite Support» Invoices. 

 

Payments: This will dictate the access to the payment and receipt related transaction of the business in Surf Accounts for the invited user. Select the check boxes to give the access to the invited user. Invited user can add; open or print payment/receipt existing business depending on the selection from “Payments” menu. The invited user will also be able to allocate the payment/receipt.  To customise the access of the user from the “Payments” choose Settings» Business Settings» User Access» Invite Support» Invoices.

 

Journals: This will dictate the access to the journals of the business in Surf Accounts for the invited user. Select the check boxes to give the access to the invited user. Invited user can add; open or copy journals of the business depending on the selection from “Journal” menu. To customise the access of the user from the “Journals” choose Settings» Business Settings» User Access» Invite Support» Journals. 

 

Bank Reconciliation: This will dictate the access to the Bank Reconciliation of the business in Surf Accounts for the invited user. Select the check boxes to give the access to the invited user. Invited user can add; open; edit; delete or print the bank reconciliation depending on the selection from “Bank Reconciliation” menu. To customise the access of the user from the “Journals” choose Settings» Business Settings» User Access» Invite Support» Bank Reconciliation.

 

VAT Returns: This will dictate the access to the VAT Returns of the business in Surf Accounts for the invited user. Select the check boxes to give the access to the invited user. Invited user can add; open; edit the VAT Return depending on the selection from “VAT Return” menu. To customise the access of the user from the “VAT Return” choose Settings» Business Settings» User Access» Invite Support» VAT Return. 

 

Opportunities: This will dictate the access to the Opportunities of the business in Surf Accounts for the invited user. Select the check boxes to give the access to the invited user. Invited user can add; edit; delete and print the opportunities depending on the selection from “Opportunities” menu. Invited user can also export opportunities in Excel or PDF format.  To customise the access of the user from the “Opportunities” choose Settings» Business Settings» User Access» Invite Support» Opportunities. 

 

Data Mining: This will dictate the access to the Data Mining of the business in Surf Accounts for the invited user. Select the check boxes to give the access to the invited user. Invited user can add; edit; delete and save the data mining depending on the selection from “Data Mining” menu. Invited user can also export the Data Mining results in Excel or PDF format.  The Data Mining results can be emailed to the email which has been used in the first place while setting up the business. To customise the access of the user from the “Data Mining” choose Settings» Business Settings» User Access» Invite Support» Data Mining. 

 

Reports: This will dictate the access to Reports of the business in Surf Accounts for the invited user. Select the check boxes to give the access to the invited user. Invited user can access all the reports related to the business like “Contact Reports”; “Opportunity Report”; “Activity Report”; “Invoice/ Credit Report”; “Invoice Details Report”; “Statement”; “Customer Account Report”; “Invoice/Credit Report”; “ Bank Reconciliation Report”; “Trial Balance Report”; “Profit & Loss Report”; “Recurring Invoice Report” etc. To customise the access of the user from the Reports» Business Settings» User Access» Invite Support» Chart of Accounts. 

 

Settings: This will dictate the access to the Settings of the business in Surf Accounts for the invited user. Select the check boxes to give the access to the invited user. Invited user can access the Organisation; Business Settings; Personal Settings; User Setting; Quotation Template; Order Template; Invoice template existing business depending on the selection of the “Settings” menu. The invited user will also be able to import and export Data of the business. The invited user can carry out a recalculation; validation check; pay pal settings of the business.   To customise the access of the user from the Activities choose Settings» Business Settings» User Access» Invite Support» Activities.
