Customers- Customer Receipt Report

Overview

Surf Accounts provides all the relevant information in a methodical and structured manner to make it easy to understand. It has been designed in such a fashion so that it can be used by the large corporation, and small and medium enterprises and accountants. You can customise your reports for the individual business. With simple select options, you can preview them on the fly before emailing or saving a copy. The reports will be generated and can be viewed interactive reports on a real-time basis.

Customer Report

Customer report will generate reports related to  Invoice and Credit Note, Invoice Details, Invoice Margin, Recurring Template, Recurring Invoice, Recurring Invoice Details, Customer Receipts, Aged Customer balances, Statements, Customer Accounts, Quote/Order Report, Product / Price Reports, price History Report and Batch Invoice Print. 

Accessing the Customer Receipt Report

To access the ‘Customer Receipt Report’ select the Reports Tab and select Customer » Customer Receipt Report. The following screen will appear.

By selecting Customer Receipt Report the reporting browse will appear on the screen.

Date

The receipt date is displayed under the ‘Date’ column.

Doc No

The receipt number is displayed under the ‘Doc no’ column.

Code

The customer code is displayed here. For non-customer receipt, the code column will be blank.

Name

The customer name is displayed here. For the non-customer receipt, the payee’s name/paid by is displayed under the name column.

Net

The net amount of the receipt is displayed under the ‘Net’ Column irrespective of customer/ non-customer receipt.

VAT

The VAT amount is displayed under the VAT column.

Please note, if the VAT set up of your business is ‘Invoice Basis then for customer receipt VAT will not be displayed. For non-customer receipt, the VAT will be shown under the VAT column.

 

VAT calculation of a Customer Receipt when VAT set up is Invoice Basis

Net Amount: 100.00

VAT Applied: 23.00%

VAT amount displayed on the report: -- (No figure will be displayed).

 

VAT calculation of a Non-Customer Receipt when VAT set up is Invoice Basis:

Net Amount: 100.00

VAT applied: 23.00%

VAT amount displayed on the report: 23.00

 

If the VAT Set up of your business is ‘Cash Basis’ the VAT will be displayed for both customer and non-customer receipt.  For details see the following example.

VAT calculation of a Customer Receipt when VAT set up is Cash Basis:

Net Amount:100.00

VAT applied: 23.00%

VAT Amount Displayed on the report: 23.00

VAT calculation of a Non-Customer Receipt when VAT set up is Cash Basis:

Net Amount:100.00

VAT applied: 23.00%

VAT Amount Displayed on the report: 23.00

Gross

The ‘Gross’ amount will be the total value of Net and VAT. In case if the ‘VAT’ appears as blank then VAT will be considered as zero. For more details see below.

 

Calculation of Gross Amount when VAT Set up of your business is Invoice basis:

Receipt Amount: 100.00

VAT applied: 23.00%

Gross For Customer Receipt: 100.00 considering VAT as zero.

Gross For Non-Customer Receipt: 123.00 considering the VAT as 23.00

 

Calculation of Gross Amount when VAT Set up of your business is Cash basis:

Receipt Amount:100.00

VAT applied: 23.00%

Gross For Customer Receipt: 123.00

Gross non-customer Receipt:  123.00

Type

The selected payment type will appear under the ‘Type’ column. For e.g. for cash receipt under the type column receipt type will be ‘Cash’. Similarly, for the cheque, debit card, credit card, standing order etc the type will be displayed according to the type of the receipt.  

Notes

The notes entered in the customer receipt will appear under the notes column.

Account Manager

The name of the ‘Account Manager’ recorded within the receipt is displayed under the ‘Account Manager column’ of the report.

Ref. No

The ‘Reference Number’ recorded within the customer receipt is displayed under the Ref. No. column.

Allocated

The allocated amount of a receipt appears under the allocated column. Please note, if VAT set up of your business is set to Invoice Basis then the VAT amount will not appear post allocation on the report. If the VAT set up is set to ‘Cash Basis’ the VAT amount will appear post allocation and you will find an asterisk (*) mark along with the VAT amount.  

Outstanding

The non allocated receipts will appear under the outstanding column.

Discount

If you have allowed any discount in the customer receipt the discounted amount will appear under the discount column.

Division

The Division recorded in the receipt is displayed under the Division column. For e.g. you have 3 different offices in Dublin, London, and South Africa. You have reordered customer receipts in all three offices. After generating the customer receipt report the locations of the business will appear on the report accordingly.

Sub Division

The Sub Division recorded in the receipt is displayed under the sub division column. For e.g. in your business, you have 3 different departments like Development, Quality Assurance and Support and Sales. If you have recorded customer receipts by using all three sub division, the sub divisions will appear on the report.

Customisation of Customer Receipt  Report

Customer Receipt Report can be sorted by using following fields.

Date Range

To generate the report for a specific time period select the Date Range by using the calendar.

Type

You can select the receipt type by using the drop down. You can generate the report by selecting ‘Payments’, ‘Opening Balance’ or by ‘Both’.

Doc No.

You can select the range of Doc no (Receipt Number). By selecting the specified range of the receipt number the report will show the selected the customer receipt.

Account Manager

You can generate the report by selecting the account manager from the drop down menu. For e.g. you may have multiple account managers. To view the report account manager wise select the name of the account manager.

Bank

To view the report bank account wise you can select bank account by using the drop down.

Division

To generate the report Division wise select the ‘Division’ from the drop down. For e.g. you have multiple offices in different locations. To view the report office location wise select the particular division by using the drop down.

Sub Division

To generate the report sub division wise select the ‘Sub Division’ from the drop down. For e.g. you have three different departments. If you wish to generate the report sub division wise choose the sub division by using the drop down.

Outstanding Only

To view outstanding or unallocated receipt in the report select the 'Outstanding Only' check box.  

Show Splits

The receipts which are in split format can be viewed in the report if the 'Show Split' Check box is checked. 

Advanced Reporting Option

To include or exclude columns in the report select the ‘Advanced’ option. From the ‘Advance Settings” option you can include or exclude columns on the report. This includes Date, Doc No, Customer Code, Customer Name, Net, VAT, Gross, Ref. No, Allocated, Outstanding, Discount, VAT Code, VAT Rate, Nominal Code, Nominal Description, Division, Sub Division, Lodgment No, Lodgment Date, Type Notes, and Account Manager.

Features

Toolbar Functionality (Print, Save, Excel, Email) of Reporting Browse

To print, save, download and email the report use the options from the toolbar as shown below.

Print

To print the reports select the Print option of the Reporting Browse. A preview will be generated and from the preview select the print icon to print the report.

Excel

To download the Invoice Margin Report in MS Excel format select the “Excel” option and the report will be downloaded in a local machine in Excel (Spreadsheet) format.

Save

To save the report related to Customer Receipt Report select the “Save” option from the toolbar and report will be downloaded to your local machine in PDF format.

Email

You can send the reports to your customers by using the email option from the reporting browse. To email the report select the Email option from the toolbar, a pop up will be generated. Enter the following details in the respective fields as shown below.

To

Enter the email address of the recipient.

CC/BCC

Enter the email address in the field to send a copy of the report.

Subject

Enter the subject of the email in the subject line.

Attachment

The report will be sent to the recipient as a PDF file. The report can be saved on the local machine by opening the attachment. The recipient can also view the report simply by opening the attachment.
