Supplier- Invoice/ Credit Note Report

Overview

Surf Accounts provides all the relevant information in a methodical and structured manner to make it easy to understand. It has been designed in such a fashion so that it can be used by the large corporation, and small and medium enterprises and accountants. You can customise your reports for the individual business. With simple select options, you can preview them on the fly before emailing or saving a copy. The reports will be generated which can be viewed in an interactive way on a real-time basis.

Suppliers Report

Supplier report will generate reports regarding Invoice and Credit Note, Invoice Details, Supplier Payments, Aged Supplier balances, Statements, Supplier Accounts Report and Order Report. 

Purchase Invoice and Credit Note: To generate reports of the Supplier Invoice and Credit Notes of the business select Reports Suppliers Invoice/ Credit Note Report. From this report, you can have a quick look at the Invoices or Credit Notes in a single browser. Before you generate the report you can sort Invoice or Credit Note date wise; Supplier’s name wise etc. You can also generate the report of outstanding Invoices. The reporting browser will display an option “Advance” to customise the report as per business requirement. To access click on Invoice/Credit Note Report click on Reports» Suppliers» Invoice/ Credit Note Report» Run. The following screen will appear.

Generating the Supplier Purchase Invoice and Credit Note Reporting Browse

Date Range: Select the Date range of the period for which you want to generate the report. Use the calendar to select the date range. The report will be displayed for the specific date range. By keeping the "Date Range" as blank the report will be generated till date. 

Type: Select the Type by using the drop down. You can generate the separate report for Invoice, Credit Note, and Opening Balance and for all types. For e.g. to generate reports only for Supplier Purchase invoices, select “Invoices” from the “Type” drop down

Doc No: Select the Doc no. from the drop down. Under the document number column the Invoice number or the Credit note numbers will be displayed. For e.g. if the document number is being selected as Invoice the document number will appear as “Inv 5”.

Account Manager: Select the name of the Account Manager from the drop down. For e.g. by selecting a specific Account Manager’s name only those Purchase Invoices / Credit Note will be displayed in the report.

Select the "Date Range", "Types", "Doc. No." from the Reporting browse. 

Customisation of the Supplier Invoice / Credit Note Report

You can customise the Purchase Invoice/ Credit Note Report by selecting the “Advanced” option. By selecting the “Advanced” option a new browser will appear on the screen as “Advanced Settings”. If you wish to sort the report choose the “Advanced” option. The Purchase Invoices / Credit Note Report can be sorted by “Date”; “Supplier Name”; “Supplier Code”; “Net Amount” etc. To access the “Advanced” option choose Reports» Purchase» Supplier Report» Advanced. The following screen will appear.

To "Include" or "Exclude" column in the report select the "Advance" button. 

By selecting “Advanced Settings” 18 columns can be displayed in the report. This includes the Date; Transaction Type; Document Number; Supplier Code; Supplier Name; Net; VAT; Gross; Accounts Manager; Due Date; Notes; Ref no; Allocated; Outstanding; Nominal Description; Nominal Code; Vat Rate and VAT Code. You can add the columns as per the business requirement so that the Purchase Invoices/ Credit Notes Report can display the relevant information.

Customise your report through "Advanced Settings". 

If you wish to generate the Report for the Outstanding Invoices Select Reports» Suppliers » Invoice/ Credit Note Report» Advance Settings » Features » Outstanding only.

By selecting the “Outstanding only” the following screen will appear in the browser as follows.

Only Outstanding Invoices are appearing because "Outstanding only" is selected from the "Advanced Settings".

If the “Show Split” is checked 14 columns will appear on the report. If Show split is not selected 14 columns will appear on the reports instead of all the 18 columns. The 4 columns which will not appear on the reports are VAT Code; VAT Rate; Nominal Code and Nominal Description.

Toolbar functionality of the Supplier Purchase Invoices/ Credit Notes Report

To Print, Save, Email the Supplier Purchase Invoice / Credit Note Report select the options from the Toolbar of the Reporting browse.

The “Purchase Invoice/ Credit Note Report” can be saved as a PDF file to the local machine. You can also download the report as *xls file by selecting the MS-Excel option. 

By using the Toolbar of the “Purchase Invoice / Credit Note” Report browse you can print, download in MS Excel format, Save to your local machine as PDF and email the report.

Select the Icons from the toolbar to print, save, import as xls file and email the report. 

Print the Purchase Invoice / Credit Note Report: To print the Purchase Invoice/ Credit Note Report select the “Print” icon to print. A preview will be generated along with a “Print” icon. The following screen will appear.

Select the "Printer" Icon to print the Supplier Purchase Invoices/ Credit Note.

Download the Purchase Invoice / Credit Note Report in Excel Format: To download the Supplier Purchase Invoice / Credit Note Report in MS Excel select the "Excel” icon from the toolbar. All Invoices and credit notes entered into Surf Accounts can be downloaded in MS Excel Format.

Save: To save the Purchase Invoice Report into your local machine as PDF select the “Save” icon from the toolbar. The following screen will appear.

Email: To email, the “Invoice/ Credit Note” select the “Email” icon of the “Purchase Invoice / Credit Note” Browse. The following screen will appear.

From: System will populate the user’s registered an email address.

To: Enter the Email address of the recipient.

CC/BCC: Enter the email address you want to send a copy of the report.

Subject: Enter the “Subject line” into the subject column.

Attachment: The report will be attached as a PDF file along with the statement date.

Open the attachment to view or download the Report.
